To make entries using Interchange for general qualifications and Cambridge Nationals:

1. Log in to Interchange.
2. Hover over ‘Entries’ in the left-hand menu and then click on ‘Make entries’
3. Click on ‘GCE, GCSE, Entry Level Certificate, FSMQ, Cambridge Nationals, Principal Learning, Project’ and then ‘Use web-based entry form’.

1. Enter the assessment code, title or part title in the search box and then ‘Find assessment’.
   

   Entering an assessment code together with part of a title will not bring up any results; e.g. to find GCE Mathematics 7890, you would need to enter ‘7890’ or ‘math’ not ‘7890 math’ nor ‘maths’.

2. Select the appropriate assessment and then click ‘OK’.

You should select existing candidates rather than creating new ones:

1. Enter the name, part name, UCI or candidate number in the search box and then ‘Find candidate’. You can restrict the search to show only candidates added during a given time period, from ‘today’ to ‘in the last five years’.
2. Select the appropriate candidates and then click ‘Add selected candidates’.
3. When you have selected all your candidates, click ‘Next’.
   

If you cannot find a candidate, you can enter their details:

1. Click the ‘Add new candidates’ tab.
2. Enter the candidate details in the fields provided and then click ‘Add candidate’.
   
3. When you have added all your candidates, click ‘Next’.

1. Select the entry option from the dropdown list (if applicable). 
2. Check the relevant candidate name.
   
3. Click ‘Apply to selected’ and then ‘Next’.

1. Review your entries to check they are correct. Please ensure you are submitting entries for the correct series.
2. Click ‘Submit entries’.

Once you’ve made your entries via Interchange, you must update your management information system with this entry information. 

Otherwise, your entries may be overwritten if you make any subsequent amendments via A2C – even if they are for a different qualification or candidates. 

This also applies to making any entry amendments via Interchange.

The following are useful features of Interchange:

• You only need to set up a candidate once – they are then ready for use for multiple series
• It’s quick and easy to amend or correct candidates’ personal details
• While creating entries for a unit or qualification, you can go back and add/remove candidates or change entry options without cancelling your entry.
• Once you’ve selected a group of candidates, you can add additional entries to the same group without having to search for them again.
• If you find you’ve duplicated a candidate, provided you have not yet made an entry for both candidates, it’s possible to delete one of the candidates.
• You can also create candidate groups, which can be tailored to include candidates of your choice. To do this, log in, hover over ‘Candidates’ in the left-hand menu and click on ‘Candidate groups’ and follow the on-screen prompts.
