Once students have achieved all the units required for a qualification with the minimum grade, we automatically issue the overall qualification result.
If a result you’re expecting isn’t available, our troubleshooting guidance below provides information on what to check and the actions required to resolve any issues.
If you need our support or have any questions concerning missing and incomplete results (MIRs), please call us on 01223 553998 or email us at support@ocr.org.uk.
When checking and resolving missing results, you may need to refer to the following:
To resolve certain issues, you will need to complete and submit our online missing and incomplete results (MIR) request form, see Troubleshooting below. For some requests you will also need to complete and upload a separate spreadsheet when you submit the form.
You access the online form via Interchange – hover over ‘Post-results’ in the left hand menu and click ‘Missing and incomplete results’. From this page, you can view and download the spreadsheet templates. Links to these are also provided in the online form.
If a student hasn’t achieved all the units required for the qualification they are entered for, they can move down to a smaller qualification (in the same subject and at the same level), provided they have achieved the right combination of units.
Where a student is eligible to achieve a larger size qualification, you can make a top-up entry.
If you need to make top-up/move-down entries:
If you change a qualification entry by making top-up or move down entries, you can tell us about any students who urgently need their qualification result for progression (eg a university place is at risk) by submitting the online MIR form – select ‘Qualification entry (registration) change’ from the ‘request type’ drop-down menu. We'll notify you once the top-up or move down entry has been processed.
If you have results missing from your EDI files, check whether the result is available in Interchange and hasn’t been included in the file. This is often due to a missing unique candidate identifier (UCI), or the result was issued after the EDI file was created.
If the result is still missing, use our guidance to help identify and resolve the issue.
If a student is entered for the wrong size qualification, you need to make top-up/move down entries via EDI or Interchange – see ‘Topping up and moving down’ above.
Where a qualification has previously been achieved, a new qualification result is only issued if the qualification grade is improved.
A new qualification result will not be issued where a student:
If the result is still missing, use our guidance to help you identify and resolve the issue.
Check the student is still expecting a result for the qualification they are currently entered for.
You may also need to inform the student of any other qualification result(s) they have achieved.
You can view units with an ‘Absent’ status in Interchange – hover over ‘Cambridge Technicals’ in the left-hand menu and click ‘Test Results’.
In the Progress Tracker, the ‘Absent’ status shows whilst the exam series is live. If the student achieved the unit in a previous exam series, the unit status shows as ‘Result achieved’.
You may also need to check your copy of the attendance register.
If the student was eligible for special consideration absence and an application was submitted and accepted, an assessed grade for the unit(s) is issued. If you have any queries about special consideration, please contact our Special Requirements team at srteam@ocr.org.uk.
If the student isn't eligible for special consideration absence, you can move the student down to a smaller qualification provided they’ve achieved the right combination of units – see ‘Topping up and moving down’ above.
If the student was not absent from the exam, complete and submit the online MIR form – select ‘Missing exam result’ from the ‘request type’ drop-down menu.
You will also need to upload a copy of your attendance register, seating plan and despatch log when submitting the online form.
A qualification grade will not be awarded if the student hasn’t achieved the minimum grade for one or more of the required units.
Check for any units that haven't been achieved. Students who do not reach the minimum standard for the unit will be unclassified (‘U’) or ‘Not Achieved’ for Level 2 units (1C).
Note: Unclassified (‘U’) grades at qualification level are only awarded if a student fails a mandatory examined unit twice and all other unit rules of combination are met.
You can move the student down to a smaller sized qualification if they have achieved the right combination of units for the smaller qualification – see ‘Topping up and moving down’ above.
If a moderated unit should have been resubmitted, follow the guidance for ‘Student/unit was missed from a moderation claim’.
When combining units for the chosen qualification or pathway, the rules for the qualification/pathway must be followed. If one or more of a student’s unit results do not count towards the qualification they are entered for, and the student is unable to complete the additional unit(s) required, please contact our Special Requirements team at srteam@ocr.org.uk.
Students must achieve all the units required for the qualification they are entered for before a qualification grade can be awarded.
If the student is unable to complete all the required unit(s), you can move them down to a smaller qualification provided they’ve achieved the right combination of units – see ‘Topping up and moving down’ above.
If you have any queries about special consideration, please contact our Special Requirements team at srteam@ocr.org.uk for guidance.
If the student has completed work for moderation and the moderation visit has taken place, submit the online MIR form.
Select ‘Candidate/unit missed from moderation claim’ from the ‘request type’ drop-down menu. You’ll also need to complete and upload the ‘Candidate/unit missed from moderation claim’ spreadsheet template when submitting the form.
Note: A moderation visit/virtual visit may be required.
If you submitted a claim for the wrong unit or grade and the claim has been processed, submit the online MIR form.
Select ‘Incorrect unit/grade claimed at moderation’ from the ‘request type’ drop-down menu. You’ll also need to complete and upload the ‘Incorrect unit/grade claimed at moderation’ spreadsheet template when submitting the form.
Moderation visits that take place after 30 June may mean results for these units, and related qualification achievements, are not available by results day.
Check the status of your visits and any related claims – you may have units that have not yet been processed and are ‘pending’.
You can view the status of a claim in Interchange – hover over ‘Cambridge Technicals’ in the left-hand menu and then click on ‘View claim history’. Your most recent claim will be at the top of the list.
Once a claim has been processed, results should be available to view on Interchange within 48 hours. The unit status in the Progress Tracker will also update.
If you have any queries, please email us at support@ocr.org.uk.
Duplicate records need to be merged so that unit achievements are ‘banked’ against a single OCR candidate number. A duplicate record is normally caused when different student demographics are used when making entries.
If a student has more than one OCR candidate number, you can ask us to merge the duplicate student records by completing the online MIR form – select ‘Merge duplicate candidate numbers / records’ from the ‘request type’ drop-down menu.
